ADDRESS BOOK FOLDERS
INTRODUCTION
It is handy to have folders in your address book.
You can select all names in a folder or pick out just the names you want
to include in your E-mail. Remember, when sending to more than one
person, always put the names in bcc. Otherwise all names are seen
by all.
FOLDER EXAMPLES
Active – friends that you correspond with most often.
Large Pictures – friends with a high speed connection
can receive large attachments.
Small Pictures – limit file size to 200 K for friends
with a dial-up connection.
Religious – your religious friends.
Business – businesses with whom you correspond.
Family – members of your family.
Computer Club – members of the Computer Club who are
on your mailing list.
Etc…
WHY A FOLDER INSTEAD OF A GROUP
All names in a group receive the E-mail. You can
pick any or all names in a folder. If you receive a nice slideshow
from a friend in one of your folders, you can send to all names except
that friend. If someone gives you a vacation notice, you can avoid
that friend and send E-mail to the others in a selected folder.
PROCEDURE FOR CREATING A FOLDER FOR OUTLOOK EXPRESS
From the Inbox, click Addresses + New. Some versions
of Outlook Express give Folder as an option. If so, click new Folder
and give it a name. Most of us will have to open Outlook and create
a folder from there. From the Outlook Inbox, click the word Inbox.
From the dropdown window, double-click Contacts > right-click Contacts
> click New + Folder. Give the folder a name and you will see this
folder under Contacts.
PROCEDURE FOR ADDING NAMES TO YOUR NEW FOLDER
Return to Outlook Express > click the Addresses icon
(the Address Book is displayed). In the left window, your folder
will appear under Contacts. In the right window are all names in
your address book. Right-click any name in the right window + Copy
> right-click your folder (in the left window) + Paste + OK. Repeat
for all names to be added to your folder. You can also hold Ctrl
and select all names to be added to a folder > right-click any selected
name + Copy. When you select Paste to the folder, click OK repeatedly.
CONCLUSION
This procedure is for XP users. Vista’s E-mail
program functions much like Outlook for creating address book folders.
However, Vista’s folders do not appear in the Windows Mail’s “Create Mail”
– only the names in all folders are displayed.
